What is Remote Notarization?

Remote notarization is when a signer personally appears before the notary at the time of the notarization using audio-visual technology over the internet instead of being physically present in the same room.

How Does Remote Notarization Work?

The signer will contact a notary or a Remote Online Notarization (RON) service provider. The signer’s document is usually in electronic format and is uploaded onto the RON platform. The signer’s identity is verified according to the requirements set forth in Arizona Administrative Rules. The notary and the signer communicate using audio visual technology. Once the signer’s identity has been verified and all other requirements completed, the signer and the notary sign the documents electronically and the notary affixes an electronic seal. The RON platform creates an electronic journal entry and records the notarization using audio visual technology.

What is an Electronic Notary?

Also referred to as In-Person Electronic Notary Public. An Electronic Notary or In-Person Electronic Notary is a commissioned notary public that is permitted to perform notarial acts electronically without the use of paper, but by state law the parties are required to be physically present. 

Most states require that these commissioned notaries go through extra measures to become electronic notaries, and once they are electronic notaries they are capable of notarizing documents using a secure platform such as DocVerify.

How do my Clients get the Documents to me?

DocVerify’s e-notary platform allows multiple ways to get documents to a notary for them to be notarized.  The most common way is through the web portal.  The steps below cover the web portal steps.

1. Signers get the document to the notary either through email, USB flash drive, or any other method of delivery.
2. When the notary receives the files, the notary will sign in, and create a notary transaction with the proper notarial act type.
3. After the transaction has been created by the notary, the notary will complete the notarial act.

FAQ & Answers for the Signer 

Do Participants or Signers need a DocVerify account?

Participants or signers DO NOT need a DocVerify account. For remote, if they do have an account they should be signed out at the time they attempt to remotely sign or join the web cam session.

How can my Signers View the Documents?

Whenever you add a participant, at the very least we require each person to have a unique email. After the notarization has completed, if the government compliance feature isn’t activated then each signer/participant will be emailed a copy of the notarized documents in the email that was provided.  If the participant wants to go to DocVerify to view it, they can create a free DocVerify account to view it online as well as long as they use the same exact email that was used during the notarial act.
